Getting started

How do I download and install ReviewHero?
  1. Open the App Store on your iPhone or iPad.
  2. Search for ReviewHero, or open the listing directly at apps.apple.com/us/app/reviewhero.
  3. Tap Get, then open the app.

ReviewHero is coming soon to Google Play. In the meantime, on Android or on a computer you can use the web app at app.reviewheroapp.com. It is the same account and the same data.

How do I create an account?
  1. Open the app and tap Sign up.
  2. Choose Sign in with Apple, or sign up with your email address.
  3. You land on a short setup flow that asks for your business details.

Use the same sign-in method every time. Signing in with Apple one day and email the next creates two separate accounts with separate data.

How do I find my business with Google?

During setup, type your business name in the search box. ReviewHero looks it up in Google's business directory and shows matching places with their addresses.

  1. Type the name the way it appears on Google.
  2. Pick the right address from the list.
  3. Check the confirmation card, then tap Confirm.

If nothing matches, add your city or street to the search. If your business still does not appear, it may not be listed on Google yet. Create a Google Business Profile first, then come back and finish setup.

How does ReviewHero connect my Google review link?

Once you confirm your business, ReviewHero builds your Google "write a review" link for you. There is nothing to paste and no Google password to hand over.

You can see the link any time in Settings. Tap it to check that it opens the review box for your business, not somebody else's.

You can also add a Facebook page and other review sites. See Where reviews go below.

How do I send myself a test request?

Do this before you contact a real customer. It takes about a minute.

  1. Go to Settings and find Send me a test.
  2. Enter your own email address.
  3. Open the email on your phone and tap the review link.

You will see exactly what your customer sees: the subject line, your business name, and the page the link opens. If anything reads wrong, fix it in Settings and send another test.

What does the free trial include?

New accounts start with a 7-day free trial. The trial gives you the full app: adding customers, photo capture, CSV import, sending review requests, follow-ups, and the dashboard.

When the trial ends you choose a plan. See Plans and billing below.

Adding customers

How do I add one customer quickly?
  1. Open Customers and tap Add customer.
  2. Enter their first name and their email address.
  3. Tap Save.

An email address is required. ReviewHero sends review requests by email, so a record without one cannot be contacted.

Can I take a photo of a paper invoice or sign-in sheet?

Yes. Photo capture reads names and email addresses off a picture so you do not have to type them.

  1. Open Customers and tap the camera button.
  2. Photograph the invoice, job sheet, or sign-in sheet in good light, straight on.
  3. Check the list it pulls out. Fix any misread letters, and delete rows you do not want.
  4. Tap Save to add them all.

Always read the addresses back before saving. Handwriting is the usual reason a request never arrives.

How do I import a CSV file?
  1. Open Customers and choose Import CSV.
  2. Pick your file. A first row of column headings makes the next step easier.
  3. Map your columns: tell ReviewHero which one holds the name and which one holds the email address.
  4. Confirm the consent statement, then import.

Rows without an email address are skipped. Duplicates are matched on the email address, so importing the same file twice does not create two copies of the same person.

What consent do I need before I contact someone?

Only contact people who did business with you and who gave you their email address for that purpose. That is the standard ReviewHero is built around, and the import screen asks you to confirm it.

Do not upload a purchased list, a scraped list, or addresses collected for something unrelated. Every request records when the contact was added and where they came from, so you have a record if anyone asks.

Every email carries an unsubscribe link and your business postal details, as the law requires.

How do I edit or delete a customer?
  1. Open Customers and tap the person's name.
  2. Tap Edit to correct the name or email address, then Save.
  3. Tap Delete to remove them.

Deleting a customer stops any follow-up that was still scheduled for them.

Sending review requests

How do I send a review request?
  1. Open Customers and tap Send next to the person's name.
  2. The Send sheet shows who it goes to and what the message says.
  3. Tap Send.

The request goes out straight away. If you tapped the wrong name, the Undo toast at the bottom of the screen cancels it.

What does the customer actually receive?

They get one short email. Your business name leads the subject line and the first sentence, so it is obvious who is asking. The body is a one-line thank you and a single button to leave a review.

Replies go back to the email address on your account, not to us. The footer carries your business details and an unsubscribe link.

ReviewHero sends by email. There is no text messaging in the app. If you would rather text, use Text it yourself below.

What does "clicked" mean on my dashboard?

Every request contains a tracked link that is unique to that customer. When they tap it, ReviewHero records the click and then sends them straight on to the review page.

Clicked is the number that matters. It means a real person opened your review page. ReviewHero does not count email opens, because mail apps load images automatically and inflate that number.

ReviewHero cannot see whether a review was actually written or what it said. Google controls that page, not us.

How do follow-ups work, and when do they stop?

If a customer has not clicked, ReviewHero sends one polite follow-up about two days later. That is the default, and you can change it under Sequences.

Follow-ups stop the moment any of these happens:

  • The customer clicks the review link.
  • You mark the request as reviewed.
  • The customer unsubscribes.
  • The last scheduled message has been sent.

The final email tells the customer it is the last one they will get from you about this.

What is the share link and the printable QR card?

Every business gets a public review page with its own web address. It shows your business name and sends people to your review page, with a short note on what to write if they are stuck.

Find it in Settings. From there you can copy the link for an email signature or a social post, and print the QR card for a counter, a van door, or the back of a receipt. Scans of the QR code are tracked like any other click.

Can I text the link myself instead?

Yes. Use Text it yourself on the Send sheet. It opens your phone's own messaging app with the review link already in the message, addressed to nobody, so you pick the contact and press send yourself.

The message comes from your own number, in your own words. ReviewHero still tracks the link, so the click shows up on your dashboard the same way.

Where reviews go

Google reviews

Google is the main destination and it is set up during onboarding. The link opens the review box for your business profile.

Customers are asked to sign in to a Google account before they can post. That is Google's rule, not ours, and the review page says so, so people are not caught out.

Facebook reviews

Add your Facebook page in Settings and ReviewHero links to your page's recommendations section. No Facebook login or app permission is needed on your side.

Facebook is worth adding if a lot of your customers found you there. For most local businesses Google still carries more weight in search.

Other review sites (Trustpilot, TripAdvisor, Zillow, Healthgrades, Avvo)

Custom link slots let you use any site that has a public "write a review" address.

  1. Open that site and copy its write-a-review web address for your business.
  2. In Settings, paste it into a custom link slot and give it a name.
  3. Send a test request to yourself and check it lands on the right page.

Clicks on custom links are tracked the same as Google clicks.

Why can't I send requests to Yelp?

Yelp does not allow businesses to ask customers for reviews. Asking can get your Yelp ranking lowered and can put a public warning notice on your Yelp page.

So ReviewHero never puts Yelp in an outbound message. You can add your Yelp address to keep an eye on what is posted there, but it is monitor-only and stays out of every request we send.

What is in Starter, at $19.99 per month?

What is in Premium, at $29.99 per month?

Everything in Starter, plus automatic customer sync. Connect Square, QuickBooks Online, or Zapier and a webhook, and new customers arrive in ReviewHero on their own.

Premium is for businesses that already take payments or raise invoices in one of those tools and would rather not add people by hand.

Which plan should I pick?

Start on Starter if you add customers yourself, from your phone, at the end of a job. Most single-location businesses stay there.

Pick Premium if your customers already exist in Square or QuickBooks Online, or if you want another system to push them in through a webhook. You can change plan later.

How do I cancel?

Your subscription is billed by Apple, so you cancel it in your Apple account, not in ReviewHero.

  1. Open the Settings app on your iPhone.
  2. Tap your name at the top, then Subscriptions.
  3. Tap ReviewHero, then Cancel Subscription.

You keep access until the end of the period you have already paid for. Deleting the app does not cancel the subscription.

What happens when my free trial ends?

At the end of the 7 days you are asked to pick Starter or Premium. If you do nothing, the account stays yours and your data stays where it is, but sending is paused until you choose a plan.

To cancel before the trial converts, cancel the subscription in your Apple account at least 24 hours before it ends.

Integrations

Connecting Square
  1. Open Integrations. This is a Premium feature.
  2. Tap Connect next to Square and sign in to your Square account.
  3. Approve the access request. You are sent back to ReviewHero.

After that, customers who pay you through Square are added automatically. Only customers with an email address on the payment can be contacted.

Connecting QuickBooks Online
  1. Open Integrations and tap Connect next to QuickBooks Online.
  2. Sign in to Intuit and choose the company file to connect.
  3. Approve the access request.

Customers on paid invoices are then added for you. As with Square, the customer record needs an email address.

Using Zapier or your own webhook

If your system is not Square or QuickBooks, you can push customers in yourself.

  1. Open Integrations and copy your webhook address and its signing key.
  2. In Zapier, or in your own software, send a request to that address with the customer's name and email address.
  3. Send one test and check the customer appears in ReviewHero.

Keep the signing key private, and treat it like a password. If you ever regenerate it, the old address stops working and you will need to update anything that used it.

Troubleshooting

The request never arrived
  1. Check the address on the customer record for a typo. A misread letter from photo capture is the most common cause.
  2. Ask the customer to look in spam and in the Promotions tab.
  3. Send yourself a test from Settings. If your test arrives, the problem is that one address.

If the request shows as failed on your dashboard, the address is not accepting mail. Correct it and send again.

The review link opens the wrong business

The wrong place was picked during setup. This happens with chains and with common business names.

  1. Open Settings and find your Google review link.
  2. Search for your business again and choose the entry with your exact address.
  3. Save, then send yourself a test and open the link to confirm.
A customer replied to the email instead of leaving a review

That is fine, and it is meant to work that way. Replies go to the email address on your account, so you can answer them like any other customer email.

If a reply is a complaint, deal with it directly. Do not send that customer another follow-up: open the request and mark it done so the sequence stops.

I can't sign in
  1. Use the same method you signed up with. Sign in with Apple and email sign-in create separate accounts.
  2. Check for a typo in the address, including a stray space at the end.
  3. Try app.reviewheroapp.com in a browser. If that works, the app just needs closing and reopening.

Still stuck, email maty4me@gmail.com from the address you signed up with.

I'm stuck on the paywall screen

There is a Sign out button on the paywall screen. Scroll to the bottom of it if you do not see it straight away.

If you already bought a plan and the paywall still shows, tap Restore purchases first. That asks Apple to confirm your subscription and usually clears it.

How do I delete my account?
  1. Open Settings and scroll to Delete account.
  2. Confirm. This removes your business, your customers and your request history.
  3. Cancel the subscription separately in your Apple account. Deleting the account does not stop Apple billing you.

Deletion cannot be undone. Export or copy anything you want to keep first.

Rules and compliance

Why doesn't ReviewHero filter out unhappy customers?

Some tools ask customers how they feel first and only show the review link to the happy ones. That is called review gating. It is against Google's policy and the FTC treats it as a deceptive practice with heavy penalties.

ReviewHero gives every customer the same public review link. Alongside it, the review page offers a private feedback box, so someone who had a bad day can tell you directly if they would rather. That box never replaces the public link and never hides it.

Can I offer a discount for leaving a review?

No. Paying for reviews, or offering a discount, a gift, a prize entry or anything else of value in exchange for one, breaks Google's policy and US law. Reviews bought this way get removed, and the profile can be penalised.

ReviewHero will not help you send that kind of message. Ask plainly instead. A polite ask at the right moment works better than an incentive.

Why is Yelp excluded from requests?

Yelp's own rules forbid businesses from asking for reviews. Businesses that ask can have their ranking lowered and can get a public Consumer Alert posted on their Yelp page for everyone to see.

So Yelp is never a destination in a ReviewHero request. You can watch your Yelp page from the app, and that is all.

What happens when someone unsubscribes?

Every email has an unsubscribe link. One tap and that person is suppressed for your business straight away: any scheduled follow-up is cancelled and no further request can be sent to them.

Suppression is permanent unless the customer asks you to start again. Do not re-import an address that has unsubscribed. A CSV import will not undo it.
